How to Plan a Charity Gala

A charity gala is one of the most complex — and rewarding — events to produce. Here's how to plan one that raises serious funds and leaves guests inspired.

1. Define Your Fundraising Goal

Before anything else, set a clear fundraising target. This determines your ticket pricing, auction strategy, sponsorship tiers, and venue budget. Work backwards from your goal — if you need to raise £100,000, your ticket sales, auction, and sponsorship must collectively exceed that figure after costs.

2. Assemble Your Committee

A charity gala requires a dedicated committee: a chair, a fundraising lead, a sponsorship lead, a communications lead, and an events lead. Assign clear responsibilities and meet monthly (then weekly as the event approaches).

3. Choose a Venue That Elevates the Cause

Your venue sets the tone for the entire evening. For a charity gala, you want a space that feels prestigious — it signals to donors that their contribution is going to something significant. London options include heritage halls, private members' clubs, and iconic landmark venues.

Negotiate venue hire carefully — many venues offer charitable discounts or in-kind support for registered charities.

4. Build a Compelling Programme

  • Drinks reception with live music or entertainment
  • Welcome address from charity patron or CEO
  • Three-course dinner with wine service
  • Impact story — a beneficiary or case study presented live
  • Silent auction (running throughout dinner)
  • Live auction (3–5 premium lots, hosted by a professional auctioneer)
  • Fund-a-need / paddle raise moment
  • Entertainment or headline act
  • Dancing and networking to close

5. Secure Sponsorship

Sponsorship can cover 30–50% of your event costs, dramatically improving your net fundraising. Create tiered packages (Platinum, Gold, Silver) with clear benefits: table allocation, logo placement, speaking opportunities, and social media coverage.

6. Curate Your Auction Lots

The auction is typically your biggest revenue driver. Aim for 5–8 live auction lots and 20–30 silent auction items. Premium lots that consistently perform well: luxury travel experiences, private dining, sports hospitality, art, and exclusive access experiences.

7. Hire a Professional Event Planner

Charity galas are logistically complex — multiple revenue streams, VIP guests, live entertainment, and high-stakes fundraising moments all happening simultaneously. A professional event planner ensures nothing falls through the cracks and your team can focus on donor relationships rather than logistics.
